ABOUT THE ROLE


The Sales Admin Coordinator is a key support role within the Wholesale and Corporate Sales team, responsible for streamlining operations and improving efficiency through meticulous administrative management. This position is ideal for a highly organized individual with strong Excel skills, attention to detail, and a passion for supporting a high-performing sales team.As the Sales Admin Coordinator, you will play a vital role in order processing, data management, customer communication, and reporting, ensuring that the sales process runs seamlessly.

KEY RESPONSIBILITIES


Order Management & Logistics Coordination


  • Process, track, and manage customer orders to ensure accuracy and efficiency.
  • Collaborate with logistics and fulfillment teams to guarantee on-time order deliveries.
  • Monitor and manage backorders, working with sales representatives to determine whether unfulfilled items should be retained or canceled.

Sales Support & Administration


  • Provide critical administrative support to the sales team, including data entry, document management, and report generation.
  • Process Return Merchandise Authorization (RMA) requests in a timely and efficient manner.
  • Maintain customer databases and CRM systems to ensure data accuracy and reliability.

Customer Service & Cross-Functional Collaboration


  • Act as a point of contact for customer inquiries related to order status, invoicing, and product availability.
  • Liaise between the Wholesale/Corporate sales team and internal departments (e.g., logistics, returns, marketing) to resolve customer concerns effectively.

Reporting & Data Analysis


  • Generate and analyze sales reports, monitoring key performance indicators to support data-driven decision-making.
  • Maintain sales dashboards, ensuring that all monthly and quarterly reports are accurate and up to date.
  • Identify sales trends and opportunities through data analysis, providing actionable insights to enhance business growth.

Administrative & Marketing Support


  • Coordinate team schedules, meetings, and event planning activities.
  • Maintain sales-related documentation, including invoices, contracts, and promotional materials.
  • Work closely with the marketing team to manage and distribute marketing assets for promotional emails and campaigns.

QUALIFICATIONS


Experience & Education


  • 0-2 years of experience in sales administration, customer service, or a related field.
  • Bachelor’s degree preferred or equivalent work experience.

Technical Skills


  • Proficiency in Microsoft Excel (pivot tables, VLOOKUP, data analysis).
  • Familiarity with CRM and ERP systems (e.g., Salesforce, NuOrder, NetSuite) is a plus.

Soft Skills & Attributes


  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • High attention to detail and commitment to data accuracy.
  • Ability to prioritize tasks in a fast-paced, deadline-driven environment.

Availability


  • Must be able to work full-time in a hybrid or in-office environment as required.
  • Minimal travel may be needed.
