NSO is looking for an Administrative Support Specialist to work at our Central Office.
Responsibilities include Administrative Support including coordinating and scheduling meetings, composing and word processing documents, effectively managing emails and responses, correspondence, forms, and processing finance forms (check requests, invoices).  Clerical duties also include answering phones, scanning, copying, faxing  Provide Front desk reception duties for the office which includes handling of all phone calls and manage internal and external customers timely and professionally.     Receive and greet all visitors in a professional and warm manner.

 Collect and distribute incoming mail and courier items.

Job Duties


Provides Front desk reception duties for the office which includes handling of all phone calls and manage internal and external customers timely and professionally.     Receive and greet all visitors in a professional and warm manner.  Collect and distribute incoming mail and courier items.

  • Greets NSO visitors and guests – direct them to the appropriate staff member
  • Performs scheduling tasks including calendar coordination; purchase airfare and lodging; reserve conference rooms and tele-conference services; select catering; and assemble attendee packets. 
  • Prepares correspondence, presentations, email communications, and excel spreadsheets. 
  • Complete Check request, Collects and reconciles reimbursement requests for payments. 
  • Reconciles monthly corporate credit account for payment. 
  • Responds to telephone and electronic communications. 
  • Attends NSO meetings as required. May take notes as necessary. 
  • Performs word processing, photocopying, faxing, data entry, and other administrative duties as assigned.
  • Ability to communicate effectively, both orally and in writing
  • Organizing and coordinating skills
  • Uses interpersonal skills, makes sound judgements
  • Handles sensitive and extensive confidential information

  • Collect and distribute incoming mail and courier items
  • Develop and maintain a tracking system on incoming and outgoing mails from courier items
  • Assist in coordination of any ad hoc duties, projects and activities when required.
  • Other duties as assigned.

Requirements


Education: HS Diploma or Equivalent

Minimum Required Experience:


  • Proficiency of MS Office (Word, Excel Outlook & PowerPoint) and adequate computer literacy.
  • Excellent Time Management skills
  • Demonstrates ability to prioritize and multi-task
  • Excellent written and verbal communication skills
  • Excellent organizational and planning skills
  • Demonstrates the ability to handle confidential information
  • Carries out administrative tasks such as copying, filing, typing, binding, scanning and USPS
