Job Description:
We are seeking a skilled and detail-oriented Contract Payroll Tax Analyst with experience in Workday Payroll, multi-state payroll tax processing, and payroll tax filing. The ideal candidate will possess strong intermediate Microsoft Excel skills (including VLOOKUPs, pivot tables, and macros) and demonstrate critical thinking and problem-solving abilities. This role ensures that payroll taxes are calculated, withheld, filed, and paid correctly and on time, keeping the organization compliant with all relevant tax laws and regulations.
The Payroll Tax Analyst will also assist the manager with payroll-related projects and collaborate effectively with team members and external partners.
Key Responsibilities:
Payroll Tax Compliance and Processing:
- Calculate and ensure proper withholding of federal, state, and local taxes from employees’ wages.
- Verify tax rates and ensure accurate tax deductions based on employee tax forms (e.g., W-4, state withholding forms).
- Audit federal, state, and local payroll tax returns prepared by tax service vendor for accuracy, including forms such as 941, 940, state unemployment tax reports, and local tax filings.
- Research and resolve tax notices by analyzing tax filing forms, agency tax records and employee data to determine necessary steps to resolve.
- Reconcile payroll tax accounts to ensure accuracy in tax deductions and payments.
- Stay updated on changes in tax laws, regulations, and procedures at the federal, state, and local levels to maintain compliance.
- Implement necessary changes in payroll systems or processes to comply with new tax laws or regulations.
Reporting and Documentation:
- Audit year-end payroll tax reports, including W-2 forms and other required filings to determine accuracy.
- Ensure timely and accurate distribution of year-end tax documentation to employees.
- Maintain accurate and up-to-date records of all payroll tax filings, payments, and communications with tax authorities.
- Manage state and local tax compliance, ensuring proper withholding and filing for employees in different jurisdictions.
Auditing and Issue Resolution:
- Perform audits and resolve discrepancies between payroll tax filings and accounting records.
- Assist with internal or external audits related to payroll taxes by providing documentation and responding to inquiries from tax authorities.
- Address questions and resolve issues related to employee payroll taxes, including withholding discrepancies and incorrect filings.
- Work to resolve disputes or issues with tax agencies regarding payroll tax filings or payments.
Collaboration and Support:
- Work closely with the payroll team to ensure accurate tax data and consistency with payroll processes.
- Collaborate with HR, Finance, and other workstreams to ensure accurate tax reporting and compliance.
- Assist the manager with payroll-related projects as needed.
Qualifications:
- An associate’s or bachelor’s degree in Accounting, Finance, Human Resources, or a related field (preferred) or equivalent work experience.
- Minimum of 5 years of experience in Multi-State Payroll tax experience.
- Proven experience as a Payroll Tax Analyst or similar role, with hands-on experience in Workday Payroll.
- Intermediate proficiency in Microsoft Excel (including VLOOKUPs, pivot tables, and macros).
- Strong knowledge of multi-state payroll tax processing and bi-weekly payrolls.
- Familiarity with federal, state, and local tax filing requirements.
- Excellent analytical skills with high attention to detail and accuracy.
- Strong critical thinking and problem-solving abilities.
- Effective communication skills to interact with employees, business partners, and external agencies.
- Ability to work independently and as part of a team.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
In compliance with Illinois Pay Transparency Law, the base salary range for this role in Illinois is between $60,000 and $80,000. This range does not include discretionary bonus or other forms of compensation or benefits offered in connection with this job. Several factors are considered when determining a candidate’s compensation. Please note that the salary range listed for this position is based on the level of experience outlined in the job description.
