Job Description


The Office administrator is responsible for performing a range of clerical and administrative tasks to support daily office operations.

The Office Administrator will be responsible for (but not limited to) the following activities:


  • Secretarial services included but not limited to organization of meetings, coordination of travel and other company events, post-service, e-mail service, and administration
  • Dealing with mail correspondence / courier shipments (incoming and outgoing)
  • Archiving of documents - electronic and in hard copy (messages, financial documents, travel settlement, etc.)
  • Deputy for the office manager (partially, during absences).
  • Support and backup of local Accounting Department
  • Support and backup of local Human Resource Department
  • Keeping employee/personal files up-to-date
  • Maintaining office supplies inventory
  • Monitoring office maintenance
  • To be contact person for various suppliers and service providers
  • Reception of guests and clients and taking care of them during visits
  • Arrangements and organisation of office meetings and company events
  • Basic IT support (setup of laptops, shipment of equipment to home office staff etc)
  • Administrative and logistic support for the whole Frankfurt/Main office

Qualifications


The ideal candidate will have:


  • Previous experience working in an Office Administrator position will be advantageous.
  • Excellent communications skills
  • Ability to build strong and trustworthy relationships
  • Affinity for problem-solving; holistic analytical thinking
  • Process-oriented mindset
  • Good time-management skills
  • Fluency in German & basic English
  • Solid working knowledge of MS Office programs including Microsoft Word, Excel, and PowerPoint
