Coordinator, Oregon


Responsible for general support of various Clean Transportation projects with a focus on training of rebate processing specialists and overseeing income-related operations for administration of statewide clean transportation programs. Under general supervision from the Clean Transportation Operations Managers, the Coordinator will assume responsibilities that include program implementation, team training and support, process updates, client/partner engagement, and overall coordination of transportation program requirements and income verification.

Essential Functions and Responsibilities:


  • Provide training and ongoing support to the transportation operations team of rebate processing specialists (RPS).
  • Provide logistical and administrative oversight to ensure quality control. Enforce program requirements, application procedures and standards, and support income verification processes.
  • Monitor daily activities to ensure that procedures are working to achieve program goals and to support efficient processing. Review program plans through the course of the fiscal year and advise the operations management team as necessary.
  • Make recommendations on transportation program design, including drafting Standard Operating Procedures (SOPs), "cheat sheets,” program email templates and correspondence, and program evaluation and reporting.
  • Coordinate, organize and track progress of RPS tasks.
  • Manage application escalations and applicant complaints. Serve as point person for escalated customer service calls and emails as they relate to transportation operations and income verification.
  • Create program reports and presentations as needed. Contribute to data analysis and writing of transportation program reports.
  • Maintain and update the internal database of program processing and income verification related documentation, including SOPs and cheat sheets.
  • Handle inquiries about the program, eligible technologies, and project requirements.
  • Provide overall operational support to Project & Operations Managers.
  • Perform other related duties as assigned.

QUALIFICATIONS


Essential Knowledge, Skills, and Abilities:


Required


  • Excellent oral and written communication skills.
  • Strong organizational, time management and planning skills. Ability to handle multiple tasks, changing priorities and working effectively under deadlines.
  • Must be extremely detail-oriented with exceptional problem-solving skills.
  • Demonstrated proficiency in customer service principles.
  • Ability to learn complex procedures and policies quickly.
  • Ability to take initiative, be proactive, and work with minimal supervision.
  • Basic knowledge of project management and best practices with data entry and documentation.
  • Demonstrable proficiency with standard office software packages (MS Office: Access, Excel, Word, PowerPoint and Outlook), and advanced use of word processing, spreadsheets, databases and other standard software to create well-formatted documents and materials requiring interpretation and critical thought.
  • Familiarity with standard office procedures, filing, telephone techniques, and operation of office equipment.
  • Proficient in typing and use of proper English spelling, punctuation, and grammar in communications.

Preferred


  • General knowledge of income verification and income documentation.
  • Familiarity with California clean transportation policies and landscape.
  • Experience with advanced technology market transformation programs.

Education:


  • Bachelor’s degree in area relevant to sustainable transportation and/or business practices, such as business administration, environmental/energy policy, transportation planning, environmental planning or environmental science or equivalent work experience required.
  • Master’s degree preferred.

Experience:


  • 3-4 years of related experience.
