Here, you’ll have the freedom to lead, the support to grow and the opportunity to make a real impact.THE ROLE: Executive Assistant to the CEOTHE LOCATION: Calgary, ABThe Executive Assistant serves as a direct extension of the CEO, playing a pivotal role in managing strategic, legal, administrative, and operational responsibilities.

This position demands exceptional organizational skills and high attention to detail. The ideal candidate is ambitious, thrives in fast-paced environments, embraces high availability, and consistently delivers impactful results. This individual must also be adept at leveraging AI technologies for system creation, legal analysis, and operational improvements.THE RESPONSIBILITIES: 

  • Oversee the CEO’s calendar, scheduling, and travel logistics
  • Facilitate communication across the entire executive team to ensure alignment with goals and company objectives
  • Plan, organize, and facilitate quarterly executive off-sites
  • Coordinate and prepare materials for board meetings, executive off-sites, town halls, annual general meetings, etc.
  • Attend meetings alongside the CEO, accurately document outcomes and ensure follow-ups and actions are completed
  • Ensure corporate compliance and manage corporate records, including maintenance of shareholder information and accurate cap table updates
  • Manage aspects of office management including lease agreements, insurance, and compliance audits (e.g., PCI compliance)
  • Conduct detailed reviews and negotiations of vendor contracts
  • Assist with internal handling of litigation matters as required

THE QUALIFICATIONS:

  • Bachelor’s degree in business administration, legal studies or related field is required
  • Minimum 5 years of experience in executive support, legal support, or similar roles is required
  • CPA, MBA, JD, or equivalent experience is an asset
  • Experience with litigation preparation, contract review and corporate compliance is an asset
  • Demonstrated success in utilizing AI for operational efficiency, contract management, and data analysis
  • Exceptional organizational and detail-oriented skills
  • Positive attitude with an extraordinary work ethic
  • Creative problem solving skills and proactive mindset
  • High availability and responsiveness, must be comfortable and available for after-hours requests
