What We Need
We are seeking a detail-oriented and proactive Accounts Payable (AP) Administrator to join our Finance team. This role is pivotal in ensuring timely and accurate processing of payments, vendor communications, and maintaining financial integrity across all entities. The ideal candidate thrives in a fast-paced environment, maintains exceptional organizational skills, and brings a customer-service mindset to both internal and external stakeholders.
Job Duties
AP Inbox & Communication Management
- Monitor and manage the AP inbox and Outlook account daily
- Respond to vendor and internal inquiries within a 24-hour turnaround time
- Coordinate and communicate effectively with internal teams and external vendors
Payment Processing
- Review and manage payment requests across multiple entities
- Build and manage payment run files with the Sr Director of Finance
- Set up payments within the appropriate banking platforms
- Send remittance advice to vendors
- Post payments accurately in the ERP system
- Ensure all contractor payments are processed within a 3-day turnaround
Credit Card Program & Reconciliation
- Manage credit card balances and cardholders across departments
- Set up and administer the virtual card program
- Post all credit card transactions in the ERP
- Collect and reconcile invoices related to credit card transactions
Invoice Management
- Collect and enter AP invoices received via email or vendor portals
- Collect all necessary AP internal approvals
- Ensure accuracy and timeliness in invoice entry
Reporting & Reconciliation
- Manage AP aging reports and address outstanding items
- Complete vendor reconciliations on an ad hoc basis
- Conduct reconciliations for top 10 vendors monthly
Knowledge and Skills
- Excellent communication and interpersonal skills
- High attention to detail and strong organizational skills
- Proficient with Microsoft Outlook and Excel
Education & Experience
- 1+ years of experience in an AP or finance role
