JOB SUMMARY:


Responsible for providing secretarial assistance to the ID Director, the Supervisor of ID Support Services, and CLA Supervisors as needed.  Establish an administrative and clinical filing system, and maintain them.  Handle routine office duties, all word processing and other secretarial functions. Demonstrate proficiency in Microsoft Office Software including Word, Excel, Outlook, and PowerPoint. Be comfortable and efficient using electronic tools such as a network scanner, fax machine, copier etc.

Excellent communication, organizational, and problem solving skills.

SPECIFIC DUTIES:


  • Manage financial paperwork, including filing, organizing, and maintaining accurate records, to ensure compliance with policies and regulations.
  • Distribute forms, field calls, and handle routine administrative tasks with meticulous attention to detail and accuracy.
  • Prepare annual financial files proactively, including archiving previous years’ files for storage and maintaining readiness for audits.
  • Handle Dysphagia placemats, overseeing the approval process from start to finish.
  • Provide front desk coverage as needed, maintaining professionalism, addressing inquiries, and ensuring seamless operations.
  • Type correspondence, reports and memos for ID Director, CLA Director, Supervisor of ID Support Services as needed
  • Act as personal and phone receptionist for ID Director, including maintaining knowledge of whereabouts and calendar of ID Director.          
  • Screens mail for ID Director, CLA Director, and Supervisor of ID Support Services & CLA Supervisory staff.
  • Attends meetings for the purpose of taking minutes as requested by supervisor
  • Maintain up-to-date supply of commonly used forms by department staff and maintain electronic filing system for same.
  • Back up other ID secretarial staff as needed.
  • Process Pharmacy bills for CLA residents as needed.
  • Solves routine operational problems.
  • Scan vehicle mileage sheets to transportation department
  • Answers routine correspondence as assigned.

    Our roots can be traced back to 1973 when PATH was incorporated as a not-for-profit corporation. This came about from the efforts of a group of dedicated community members, many of whom had family members in need of services, which were scarce to non-existent at the time. They worked tirelessly with a group of caring professionals to form PATH and to secure funding in order to provide much needed services to the citizens of Northeast Philadelphia. This tradition of the involvement of dedicated and compassionate community members continues today through our volunteer Board of Directors who are all residents of Northeast Philadelphia. The Board of Directors, which is largely composed of family members of individuals who participate in our programs, continues to strongly advocate for the needs of the community. Over the years, our community has expanded to include individuals throughout the city of Philadelphia and in surrounding counties through our Specialized Russian services Starting with a staff of 14 in rented office space providing only information and referral services, PATH has significantly expanded its programs as we currently serve over 3,000 individuals annually in our various Behavioral Health Programs, which include both Mental Health and Substance Use Treatment, as well as in our Intellectual Disabilities programs. With over 500 competent and considerate staff members, we are able to provide a wide array of quality services to meet individuals' needs. Our facilities include our main campus at 8220 Castor Avenue, 4 satellite locations, and over 70 homes in the community where we provide residential supports to enable individuals to remain living in the community. We also provide school based services in numerous Philadelphia schools. We have remained true to our mission of helping individuals achieve a more independent and fulfilling life.
