Position Overview:
The Senior Tradeshow Coordinator will play a pivotal role in overseeing the tradeshow and event coordination process, working closely with the Marketing Manager and cross-functional teams. This senior-level role will involve a strategic approach to organizing, planning, and executing trade show initiatives while also managing key stakeholder relationships across sales, marketing, and executive leadership. The Senior Tradeshow Coordinator will mentor junior team members, assist in leading pre-show marketing activities, and ensure a seamless execution of trade show operations.
Key Responsibilities:
- Lead and execute pre-show marketing strategies at the direction of the Marketing Manager.
- Track and analyze expenses, assisting in complete financial reconciliation for events and trade shows.
- Oversee the processing and distribution of trade show leads to the sales force.
- Develop and maintain detailed show schedules, project tools, checklists, and processes.
- Manage the trade show and events calendar, ensuring smooth coordination of all logistics.
- Monitor and maintain inventory of trade show/event materials, including booths, sales collateral, and promotional items.
- Review and process client contracts in alignment with company guidelines.
- Provide senior-level support to the marketing department with broader marketing initiatives and sales presentations.
- Assist in preparing materials for client meetings, conference calls, and other key engagements.
- Mentor and guide junior staff members, providing support where necessary.
- Take on additional duties and responsibilities as assigned, with a focus on process improvement and operational efficiency.
Qualifications:
- Highly organized, with advanced project management skills.
- Exceptional attention to detail and ability to manage multiple projects simultaneously.
- Proficient in Microsoft Office Suite (Word, PowerPoint, Excel) and other event management tools.
- Strong proofing and editing skills, with a focus on clarity and precision.
- Excellent ability to prioritize tasks and manage tight deadlines in a fast-paced environment.
- Analytical mindset with the ability to communicate findings clearly, both verbally and in writing.
- Ability to work autonomously and as part of a team with minimal supervision.
- Demonstrated leadership skills with the ability to mentor and guide junior team members.
- Strong verbal and written communication skills, professional demeanor, and a high level of confidentiality.
- Must type at least 40 WPM.
- Some college coursework completed, Associate’s Degree or equivalent experience preferred.
- Experience with managing tradeshows at a senior level is a significant advantage.
