Position Overview:
The Scanning Clerk is responsible for efficiently managing and processing documents to support operational needs. This role includes handling incoming mail, scanning and indexing documents, maintaining archives, and providing backup coverage for other operational areas as needed.
Key Responsibilities:
- Maintain access to multiple software platforms for retrieving documents such as deposits and charges.
- Sort, open, collate, and deliver mail, including FEDEX, USPS, and UPS.
- Prepare documents for scanning.
- Perform quality control on documents and track progress in Excel spreadsheets.
- Scan batches of documents and ensure accurate indexing.
- Communicate issues and challenges to the manager promptly.
- Process and document returned mail according to established workflows.
- Conduct quality control on batches.
- Sort, collate attachments, and prepare CMS 1500 forms and supporting documentation for mailing in the Print Shop.
- Provide coverage for other operational areas, including receptionist duties, mailroom, and Print Shop.
- Maintain organization of charge and deposit batches in archive storage.
Skills and Competencies:
- Familiarity with Microsoft Word and Excel.
- Ability to type at least 35 WPM.
- Competence in using basic office equipment, including printers, phones, faxes, and copiers.
- Strong written and verbal communication skills with proper etiquette.
- Exceptional attention to detail and organizational skills.
Education and Experience:
- High school diploma or equivalent required.
