PCMI (Policy Claim Management International) is a fast-growing, leading provider of integrated software for Extended Warranty Management and Finance and Insurance (F&I) administration. We are a SaaS company that operates in a fast paced, entrepreneurial environment. Our 3 teams located in the US, Poland, and Thailand work collaboratively around the clock to build our PCRS platform that automates the full administration lifecycle of all extended warranties, F&I products, and service contracts for our customers.
What You’ll Do
In this role, you’ll help our organization run efficiently by providing administrative support to our CEO. You will be the positive, professional first impression of the organization for employees, candidates, and customers. Additionally, you’ll own all general office tasks and administrative duties and assist in planning office events and initiatives.In this role, you will:
- Manage and prioritize professional scheduling for CEO including email, calendars, agendas, phone calls, mail, client management, etc.
- Drafting professional written communications on behalf of the CEO.
- Maintain professionalism and strict confidentiality with all materials.
- Coordinate complex scheduling and calendar management, as well as content and flow of information for CEO.
- Manage CEO’s travel logistics and activities, including accommodations, transportation, and meals.
- Act as the point of contact between the CEO and internal or external colleagues.
- Assist in creating presentations, documents, and other materials for CEO.
- Act as operator of our phone system and redirect messages.
- Manage complex office administrative work requiring the use of independent judgment and initiative.
- Organize and prepare our kitchen and office daily (clean, restock, inventory, prepare rooms).
- Manage inventory and order all office/kitchen supplies, including grocery pick-ups from local vendors.
- Run office errands as necessary (UPS, FedEx, USPS, grocery store).
- Order/pickup food for onsite clients or office events (meetings, catered lunches, visitors).
- Welcome visitors and identify the purpose of their visit before directing them to the appropriate party.
- Assist in the coordination and booking of travel arrangements for team members and visitors as needed.
- Assist HR team in the planning and coordination of all office events.
- Act as main point of contact for all events, answer any questions, provide thorough details, etc.
- Perform administrative duties (file, scan, mail, record keeping, expense reports).
- Manage and maintain organization of the storage closet.
- Assist Marketing team with company swag inventory.
- Schedule any office equipment maintenance/installations needed and manage relationships with vendors.
- Assist Marketing Department with ad hoc projects such as conference registration, client gifts, marketing research projects.
- Any other administrative tasks for various departments as assigned.
What You’ll Need to Join Our Team
Experience
- Bachelor’s degree or equivalent work experience preferred.
- 2-3 or more years of experience in an administrative role reporting directly to upper management.
- Proficient in MS Office (Word, Excel, PowerPoint, and Outlook).
- Experience working in a professional corporate setting preferred.
