The Exhibits Estimator and Project Manager will collaborate with the Exhibits Sales and support team to lead projects, provide guidance, and oversee the production of shows. They will support and train the exhibits team and communicate with various clients and customers to ensure effective project planning and address issues related to timelines, deadlines, and production challenges.

Essential Job Duties


  • Evaluate project proposals and plans to establish timelines, budgets, strategies for execution, staffing needs, and allocation of resources across different project phases.
  • Oversee the Request for Proposal (RFP) process, including discovery meetings, pricing strategies, project feasibility, and resource availability.
  • Manage custom exhibit projects to ensure they meet client specifications and deadlines.
  • Oversee the execution of project/booth production for clients who are exhibiting non-Shepard shows (3-code), special events, and non-Shepard produced projects.
  • Supervise the storage of booth properties for Shepard and non-Shepard shows (Exhibit Management Program) and plan for shows effectively.
  • Manage and coordinate the shipping and transportation of booth properties, including post-show inventory management.
  • Provide insights and feedback for product sourcing, including Audio Visual (AV) equipment, rigging, flooring, props, etc.
  • Facilitate and participate in project-related meetings to ensure all team members are aligned.
  • Communicate with vendors and clients to place service orders and obtain approvals as needed.
  • Assist with pre-show and post-show financial analysis and strategize for future projects.
  • Conduct post-show project reviews to identify areas for improvement and resolve current and future issues.
  • Review targeted projects for design accuracy, scheduling, estimating, and overall planning efficiency.
  • Create and update Standard Operating Procedures (SOPs) for bidding, producing, executing, and storing custom project elements.
  • Address project-related problems and concerns promptly to ensure smooth project execution.

Requirements

  • Minimum of 3 years of experience in the trade show industry.
  • Experience with estimating the cost and timelines for shows or projects to support the bidding process.
  • Ability to plan, execute, and monitor compliance requirements while effectively managing budgets, scope, and schedules.
  • Proficient in Microsoft Outlook; advanced proficiency in Excel preferred.
  • Ability to operate standard office equipment and computer systems effectively.
  • Excellent written and verbal communication skills.
  • Ability to communicate effectively with team members, customers, and clients.
  • Strong attention to detail with the ability to organize tasks and meet multiple deadlines in a fast-paced environment.
  • Willingness to travel and work non-standard hours, including nights, weekends, and holidays as required.
  • Bachelor’s Degree required; Project Management Professional (PMP) or other Project Management certification is a plus.
