Job Summary:
As Registration Specialist, you will serve as the primary point of contact for Nationwide Marketing Group Members, vendors and internal team for all events. You will own the entire event life cycle from start to finish- from gathering requirements for the event registration sites to delivering reports post-event. Managing registration databases and responding to guest inquiries with superior customer service and speed, you’ll serve as a liaison for planners, clients, hotels and third-party suppliers.
You’ll be the subject matter expert on registration processes and platforms, maintaining and monitoring event email boxes and attendee lists. You’ll collaborate with the NMG IT team to streamline processes and you’ll manage and distribute reports to event stakeholders.
Job Responsibilities:
- Assist events team in planning, managing, and executing registration for our events / conferences / tradeshows including launch, pre-event, onsite and post-event registration management, attendee communications, scheduling, shipping/ordering, virtual platform integration, and ongoing attendee/team inquiry support; ability to manage onsite registration processes.
- Support the launch and maintenance of our registration forms and applicable webpages
- Manage external vendor relationships, inclusive of negotiating budgets and contracts.
- Work closely with internal cross-functional teams where areas overlap to meet event goals and objectives for successful execution of events.
- Manage the registration event inbox and respond to attendee inquiries
- Proofread event materials including website, signage, attendee/speaker/vendor communications.
- Main point of contact with registration tracking for external clients (members and vendors) and internal event team/company team members in managing multiple, complex projects simultaneously
- Serve as SME for all advance, onsite, and post show registration activities for 8-15 events per year, ranging in size
- Work with events team to design and implement marketing strategies to increase attendee acquisition
- Maintain action items for teams across multiple departments and ensure all deadlines are met
- Make decisions and communicate trade-offs and risk; drive key decisions across projects
- Develop trusted relationships with your team and clients, listen actively to their concerns and questions in order to better respond and understand their perspectives
- Maintain a positive, can-do attitude, acknowledge and appreciate teammate’s contributions and contribute to the overall culture
Job Qualifications:
- BS/BA degree and minimum 2 years of event management experience (specifically, experience must be in one or more of the following areas: managing B-to-B conferences as a corporate planner, at a 3rd party event management firm/agency, or as a convention services manager at a hotel)
- Demonstrated history of strong leadership and negotiation skills, as well as the ability to effectively assimilate and communicate complex information from multiple sources
- Proven ability of successful cross-functional team collaboration is required
- Experience managing, communicating and building relationships with clients and across teams
- Prior experience managing registration for large scale events/trade shows
- Prior experience with registration platforms required (ie Cvent, Swoogo)
- Creative, positive energy, self-directed, amiable, and composed under pressure; helpful and humble
- Thorough understanding of the event and meeting registration process – conception to completion.
- Must have the ability to manage multiple projects/events in a fast-paced, multi-faceted, creative environment and must be able to work well under pressure
- Travel to select events as needed
- Candidate must successfully complete a background screening upon offer of employment

Work Environment:
Must be able to read, write, and communicate both verbally and in written form to express and exchange ideas. While performing the responsibilities of this job, the employee must be able to access all components of the workstation and other office equipment. Frequent typing, writing, bending, and twisting. Must be able to lift up to 10 pounds. General office environment with moderate noise. This position is mostly sedentary, involves sitting most of the time, but may involve walking or standing for brief periods of time.
A busy environment with many unscheduled interruptions. Frequent computer use at workstation for extended periods of time. Public contact position requiring appropriate business apparel.
