Summary
The Manager of Special Projects supports the Village Health Center (VHC) by managing health care integration, expansion, and improvement projects aligned with VHC’s strategic goals. Responsibilities include overseeing grant applications, resource allocation, staffing, and reporting outcomes to funders. This role involves process improvement, quality initiatives, collaboration with internal and external partners, and implementation of new programs. Key duties also include developing policies, leading trainings, and ensuring projects align with best practices and achieve objectives.
Essential Functions
- Utilizes an understanding of the quadruple aim, healthcare integration, patient satisfaction, and value-based care in decision making to manage projects/programs in an efficient/effective manner.
- Assists in recruiting, screening, interviewing and recommending candidates for hire, as assigned, to assure appropriate staffing patterns for designated projects/programs.
- Directly manages administrative assistant III conducts training; assigns tasks and monitors work performance; writes and delivers performance appraisals; recommends salary actions; recommends and administers disciplinary action; recommends and approves termination of employees and engages and retains a high performing, accountable workforce
- Maintains oversight of project-related budgets, including grant/donor funding for assigned projects to assure effective, appropriate and timely use of funding.
- Keeps abreast of industry standards and best practices, engages in community resources and affiliations as necessary to improve health center programs. Identifies new resources and creates partnerships to enhance program functioning.
- Monitors and evaluates the outcomes of assigned projects/programs. Uses project management tools to implement, manage, and complete projects.
- Improves processes; creates and implements policies, procedures and workflows. Plans, coordinates, and facilitates meetings and/or trainings, to improve project/program performance.
- Maintains oversight of safety initiatives for VHC, attends meetings with internal and external stakeholders and disseminates best practices to VHC leadership team to inform process improvement within the health center.
- Creates and communicates project initiatives to VHC/FJV leaders, teams, and other stakeholders as needed.
- Creates vendor relationships and effectively manages invoices and purchase orders to help improve the financial wellness of VHC.
- Ability to engage in cross-functions, work autonomously, and communicate with internal and external stakeholders effectively via multiple modalities (e.g. email, Teams, phone).
- On time completion of assigned training and policies.
- Performs other duties as assigned.
Qualifications
- Bachelor’s degree in social service or health care field, Masters degree preferred.
- At least 1 year of experience working with underserved populations in a clinic or social service setting preferred.
- At least 1 year of project or program management experience, preferred.
- 1 year of leadership experience to include training and performance management, as a plus.
- Intermediate user of MS Office.
- CPR/First Aid & AED certified.
- Must be at least 21 years of age with a minimum of 3 years of driving experience; possesses a valid California driver's license; and has no Class 1 or more than two Class 2 violations within the past 36 months.
- Must be able to pass pre-employment background check, drug screening and physical. Participate in an annual Tuberculosis screening and/or other screenings when necessary. Completion of necessary vaccinations/immunizations.
