A little bit about the job!
As our client list grows, so does our need for talented, hard-working team members. The Operations Manager is the backbone of Sandbox’s internal engine; a critical function that ensures the entire firm runs with precision, foresight, and consistency. As the sole owner of Sandbox’s operational infrastructure, the Operations Manager has strategic visibility across finance, HR, business development, and team culture and is empowered to drive improvements, introduce systems, and make recommendations that directly shape the firm’s success.
This is a role for someone who thrives on ownership, sees patterns before others do, and understands that great operations are not invisible overhead but a critical foundation for sustainable growth.
Day-to-Day Responsibilities:
- Own daily operational flow by providing the partners with key meetings, priorities, blockers, and financial updates that enable decision-making.
- Manage partner scheduling and calendars with foresight — anticipating and communicating conflicts, optimizing time, and protecting focus.
- Ensure client proposals are prepared, reviewed, and delivered within 24 hours, supporting Sandbox’s responsiveness and reputation.
- Own the client onboarding process from kickoff scheduling through setup, ensuring a seamless and professional start to every engagement.
- Act as the central communicator for company-wide announcements and updates.
- Keep finance and business development documentation accurate, current, and actionable; monitor cash and collections daily.
- Quickly triage and resolve ad-hoc requests with accuracy and ownership.
Weekly Responsibilities:
- Ensure employee hours are accurately recorded in Harvest and proactively address any gaps or issues.
- Track and update all business development leads in Nutshell, ensuring leadership has an accurate view of the pipeline.
- Reconcile invoices and expenses in QuickBooks, flagging irregularities and ensuring financial integrity.
- Own the collections process by managing follow-ups and reporting progress weekly.
- Deliver a concise weekly “operations summary” — what was completed, what’s pending, and what’s next — to keep leadership aligned.
- Act as weekly standup facilitator, maintaining rhythm and focus.
- Ensure all technology and AV needs are prepped for team meetings.
Monthly Responsibilities:
- Lead Sandbox’s monthly financial close process with accuracy and accountability.
- Ensure all client invoices are sent timely and reminders are issued as needed.
- Manage monthly budgets for snacks, office supplies, and related overhead, keeping spend in line with company priorities.
- Track and execute on swag, special projects, and client gifts, ensuring Sandbox’s culture and brand are consistently represented.
Quarterly Responsibilities:
- Own quarterly tax payments, commission and distribution payouts and work with CPA during tax season to help with preparations.
- Conduct quarterly audits of systems, files, calendars, and onboarding docs, identifying gaps and driving continuous improvement.
- Present quarterly recommendations to leadership for operational improvements, positioning Sandbox to scale effectively.
Ad-hoc:
- Act as primary administrator of Google Workspace and software subscriptions, ensuring smooth access and compliance.
- Own the issuance, tracking, and management of Ramp cards for employees.
- Lead our “Ironclad Infrastructure” OKRs.
We are excited about you because...
- You bring 5+ years of experience in operations, executive administration, or business management, ideally within a professional services, consulting, or agency environment.
- You have a proven track record of managing complex calendars, competing priorities, and fast-moving projects with precision and foresight.
- You have hands-on experience with financial operations including invoicing, collections, expense reconciliation, budgeting, and monthly close coordination.
- You’re proficient in Google Workspace, Notion, QuickBooks, Harvest (or similar time-tracking tools), and CRM platforms such as Nutshell or HubSpot.
- You communicate clearly in writing and verbally, producing polished deliverables and ensuring alignment across teams.
- You are highly organized, detail-oriented, and able to manage multiple priorities in a dynamic environment.
- You demonstrate emotional intelligence, discretion, and professionalism when handling sensitive information.
