The Facilities Manager is responsible for the day-to-day operation of all internal and external areas of the building, including equipment and building systems maintenance.
Education and Experience:
- Bachelor’s degree
- 2+ years’ experience in Facilities management

- Excellent interpersonal and communication skills, including exhibiting professionalism and diplomacy when working with fellow employees, vendors and customers.
- Ability to maintain confidentiality.
- Proven experience with coordination of multiple tasks simultaneously, meeting deadlines and working productively and efficiently under pressure.
- A demonstrated proficiency of Microsoft Windows, Microsoft Office, Microsoft Outlook. Helpdesk or work order/issue management software experience a plus.
- Ability to work effectively with people and be able to supervise others.
- Ability to work both in a team environment and on an individual basis.
- Knowledge of common procurement practices.
- Knowledge of supply chain management best practices.
- Excellent written and verbal communication skills.
- Working additional hours beyond regularly scheduled hours as requested by management.
Essential Duties:
- Gilbertsville Facility
- All facilities-related vendor management and building systems including but not limited to: HVAC, security and fire monitoring systems, generator, trash service, outdoor fixed umbrella installation and removal, grills/propane, outdoor seating, etc.
- Oversees the Facilities Helpdesk issues from triage through resolution. Ensures clear and timely communication with facility stakeholders. Routinely reviews processes and procedures to ensure their effectiveness.
- Responsible for sourcing and managing facilities service vendor relationships, including office cleaning, lawn care, snow removal, recycling, shredding and other maintenance needs.
- Management of security and fire alarm systems and coordinating the security team, excluding access badge management.
- Responsible for ensuring building security measures are available and followed. Recurring review and alignment of these policies with Gateway’s CloudOps department and other stakeholders in complying with physical security policies (i.e. PA-DSS, PCI, PII, etc.) Includes keeping sign-in sheets up to date and scanned and routinely given to CloudOps.
- Participate on the security team for building security emergency response.
- Support the Human Resources department in conducting periodic fire and/emergency drills and maintaining related procedures
- Primary contact for building maintenance issues.
- Responsible for contacting maintenance personnel and arranging service calls (ie facilitating the visit, sign-in and security measures through the service visit).
- Communication to building staff about office closures (weather, etc.) and repairs affecting employees.
- General building maintenance items such as bulbs, filters, etc.
- Maintain building files both physically and electronically.
- Responsible for per-incident repairs of building and equipment, along with preventive maintenance program, including all heating, air conditioning, electrical, plumbing, etc.
- Maintain and display inspection record for the elevator.
- Prepare conference rooms and auditorium for internal and customer meetings and work with the cleaning crew to clean up and put room back together after the meetings
- Prepare and manage the Facilities budget by the specified deadline.
- Keep process and procedure documents up to date.
- Coordinate office and workstation moves and new employees with New Hire Manager, HR and IT to ensure space is clean and all building equipment present (table, chair, trash can, etc.)
- Responsible for the overall cleanliness of the facility. This includes managing the cleaning staff and backing up as necessary for routine cleaning of the building.
- Work closely with Contracts Department to execute on facilities contracts, from RFP process if needed to completion, with signature from CEO/President.
- Work closely with Accounting Department to maintain efficient facilities procurement processes.
- Back-up coverage for Shipping and Receiving when necessary
- Back-up for Mail Distribution when necessary
- Back-up for Building Greeter when necessary
- Pricing analysis and usage tracking for all building related supplies.
- Work with building owners as needed.
- Additional tasks and special projects as needed.

Physical Requirements:

Supervisory Responsibilities:
- Provide Leadership and direction to Facilities team members.
- Manage and assign work as appropriate.
- Manage daily projects to support the needs of the facility.
- Mentorship, coaching, development, and performance evaluations/management of staff
